Material Safety Data Sheet (MSDS or SDS) – what is it and why is it so important?
Every product containing chemicals that is placed on the market must be accompanied by technical documentation required by applicable laws. The responsibility for preparing and providing this documentation rests with the manufacturer. The primary document in this regard is the Material Safety Data Sheet (MSDS), which contains detailed information on hazards, physicochemical properties, safe use guidelines, and emergency response procedures. This document serves not only an informational purpose but, above all, a preventive one—its purpose is to protect human health and reduce the risks associated with the use of hazardous substances in the workplace and beyond.
What is a safety data sheet?
A Material Safety Data Sheet (MSDS or SDS) is a standardized technical document whose preparation and provision are required by law for substances and mixtures classified as hazardous. It contains detailed physicochemical, toxicological, and ecological data, as well as information regarding potential risks to human health and the environment. The primary function of the safety data sheet is to provide professional and end users with reliable guidelines on the safe use, storage, transport, and waste management of the substance. This document forms the foundation of chemical risk management and is an essential component of chemical safety systems in workplaces and the supply chain.
Content and Structure of the Safety Data Sheet
The safety data sheet has been prepared in accordance with the REACH Regulation and the CLP Regulation, and its structure is based on 16 organized sections. This layout makes it easier to find specific information for both those responsible for chemical safety management within a company and users without a background in chemistry.
This document includes, among other things,
- data identifying the substance and the manufacturer,
- hazard classification,
- detailed composition (including the content of hazardous substances),
- a description of first aid measures,
- physicochemical properties,
- information on chemical stability,
- toxicology, and environmental impact.
It also includes guidelines on safe transport, waste management methods, and applicable legal regulations.
The safety data sheet is not intended solely for hazard identification. It serves as a tool to support the proper implementation of personal protective equipment, specifies requirements for the storage and handling of substances, and aids in the development of emergency response procedures. Importantly, the information contained in the document must be kept up to date if new toxicological or environmental data or legislative changes arise.
Practical significance and application in various settings
From the user’s perspective, the safety data sheet is an operational document. It allows one to assess whether the use of a given substance poses a risk to health or the environment and how to mitigate it. For technical staff and occupational safety and health services, it serves as the basis for developing occupational risk assessment sheets, job-specific instructions, and selecting appropriate personal protective equipment.
In manufacturing companies, research laboratories, and the logistics industry, this sheet serves as a systemic safeguard for working with hazardous materials. The information contained therein is essential during audits and inspections by labor authorities, public health officials, or the fire department. Possessing up-to-date and properly prepared safety data sheets demonstrates a high standardof safety culture within the organization and compliance with ISO standards, such as ISO 45001.
For individual users—such as medical staff, cleaning company employees, those responsible for selecting and managing supplies in facilities, or those involved in ordering products—access to the SDS enables the safe use of chemical products without risk to their own health, the health of others, or the environment.
Obligations of manufacturers and users – responsibility and awareness
A manufacturer, importer, or distributor of a chemical substance is required to prepare and make available a safety data sheet for every product classified as hazardous. This obligation stems directly from EU regulations and cannot be overlooked in either wholesale distribution or retail sales. The document must be provided in the language of the country where the product is sold and made available in both electronic and paper formats upon the recipient’s request. In turn, the user is required to familiarize themselves with the content of the document and follow the recommendations contained therein when using the product.
